Community Administration

As a business established in 1990 we continue to expand and currently act as Administrators for over 40 communities along the South West coast of Majorca from Palma to Camp de Mar, effectively providing a trusted service to over 1,400 property owners. Our team includes professionals experienced in many facets of Real Estate and the Administration of communities, including lawyers who are on hand to provide advice on any legal issue.

Our community Administrator is Sr Fernando Alberich Arjona (Col. 737), an experienced and respected practising lawyer who attends all community meetings. Our office based staff include an accountant with more than 35 years experience of looking after community accounts. Our administration assistants have knowledge of most European languages and are fluent in English and German.

Together we have all come to recognise that every community is individual in its needs and that each lends itself to being managed in different ways depending on its peculiarities. Our duties are of course clearly defined in the Spanish Horizontal Property Law. However to enable the community to run as smoothly as possible, in our experience, can only be done once the Administrator and the proprietors have had an opportunity to develop a working relationship over time. Our aim is to ensure complete transparency in all transactions.

As Administrators for your community we will assist in all aspects relevant to resolving communal issues, including but not limited to:

  • Obtain architects briefs for third parties to submit quotes for the maintenance or refurbishment of communal elements.
  • Offer assistance in the preparation of subsequent licence and subsidy applications to local authorities.
  • Supervise payment to all third parties involved in maintaining the communal areas – for which we guarantee providing relevant third party invoices for inspection at any time by any property owner.
  • We will assist in the organisation of annual community and committee meetings providing where necessary relevant translators and the free use of our in house conference facilities.
  • Through contracting third party lawyers persue debtors in a community and ensure payments are kept up to date by all property owners.
  • Assist in resolving communal insurance claims

In the last twelve months, our communities have approved the correct payment for refurbishment works that we have administered to the value of over a million Euros.

Our services are charged to the community on monthly basis in accordance to the guidelines as issued by the Collegi d'Administradors de Finques de Baleares (Balearic Association of Administrators). Our fee is calculated on the number of "services" that a community may have as defined by the association, these include:

  • Automatic porter
  • Communal TV aerial
  • Water Pump or associated pressure vessel
  • Lift (Each machine room is considered as 1 service)
  • Communal central heating
  • Communal hot water
  • Garden
  • Swimming pool
  • Purifying plant
  • Communal smoke extract
  • Communal insurance policy
  • Fire alarm system
  • Each employee is considered as a service, eg. Porter, Cleaner security guard etc.

Some of our services are charged separately for which we always provide notice in advance.
